Engagement in the life of the university and the well-being of students should be the primary focus of all faculty.
This policy applies to all faculty.
Workday Reminders
- Enter sick time in Workday when unable to work due to illness.
- Bereavement time should be noted under bereavement.
- Request vacation time (12-month faculty/staff) if not performing work-related duties during business hours, as defined below.
- Enter Professional Development time away into Workday.
- Enter Jury Duty time away into Workday
Outlook Calendars
- Keep calendars up to date and available on Outlook. At a minimum, include teaching time, time off, leaves, professional development travel, and drop-in hours, and department/college/university meetings.
- Communicate to your team members if hours are changing for a specific absence or PD travel.
Student Drop-In (Office) Hours
Faculty provide a minimum of eight (8)* in-person student drop-in hours across each week, unless on a fully remote contract, in which case student drop-in hours and most other activities would be carried out virtually.
Student drop-in hours are to be set based on peak times for student availability (depending on the program, level, and type) and posted outside the faculty office door and on each syllabus for all full-time faculty.
- This includes the actual document and under the ‘Syllabus’ tab in Canvas for each course. Student drop-in hours should be held on campus in faculty offices, regardless of the teaching modality. Students unable to meet during designated office hours should have access to the faculty member by appointment.
- *8 in-person student drop-in hours are based on a 4/4 teaching load. A minimum of two (2) posted hours is required for each course taught.
Presence on Campus
- Faculty should be on campus and readily accessible Monday through Friday.
- Under extenuating circumstances, limited remote work can be allowed if agreed upon with the supervisor and Dean.
- If/when working remotely, faculty should establish and maintain availability to communicate effectively with administration, other faculty and staff, and students regarding university matters.
- Meetings that are scheduled in-person are expected to be attended in-person with no virtual option unless approved by the Dean. TEAMS is still an acceptable tool that can be utilized for meetings, if necessary or for efficiency, with respect to time and location of participants.

Communication
- Reply to all emails/calls in 24 hours or less, unless over the weekend, when the following business day is acceptable.
- Department heads may communicate additional expectations to their team.
Summer Responsibilities for 9-month Faculty
- Availability to students is key to retention, which is indirectly, if not directly related to financially sustaining the future of our academic programs. Check ²Ø¾«¸ó email regularly and have your out-of-office message direct all communications, per your college’s direction.
